NSLC Travel and Room Information

We look forward to hosting you and your students this summer.

First, thank you for participating and supporting our NFHS Strategic Plan initiative for educating the public about the NFHS and our role in education-based athletics and activities. The purpose of this memo is to outline for you the plans and procedures for the upcoming student leadership conference which is a part of our strategic plan.

We have confirmed our last speaker and the NFHS National Student Leadership Conference Adult and Student Delegate Application and Brochure is completed!  We are having it printed locally and will ship the hard copy in the next two weeks.  In the meantime, you can download the (.pdf) document from our website at http://www.nfhs.org/core/contentmanager/uploads/2008_SLC_Student_Adult_Application.pdf.  Or you can open the attached file for distribution to the adults and student delegates in your state.

Dates, Location, and Times

The dates of the NFHS National Student Leadership Conference are July 17-20, 2008.  We would like your adult and student delegates to be in Indianapolis no later than 4:00 p.m. on Thursday, July 17, 2008.  We would like your departure to be no later than 3:00 p.m. if possible on Sunday, July 20, 2008.  The conference will be housed entirely in the Hilton Indianapolis Downtown, 122 West Market Street, Indianapolis, IN, 46204.  Their phone number is 317-972-0600 and the reservation toll free number is 800-652-7058.  Please refer to the NFHS Student Leadership Conference pricing when making your reservations for your adult delegates.

Registration Fees, Sponsored/Non-Sponsored Delegates, Meals, Housing, and Travel

The registration fee for the non-sponsored student and adult delegates is $350.00 each.  You are responsible for making the hotel reservations for your adult delegates.  We will require that you give us a list of all your student delegates and we will make the reservations for them so they can be incorporated into the rooming matrix.  As you are aware we are sponsoring six student delegates from each state association.  Some of you have indicated that you plan on bringing additional students, and these students are considered non-sponsored and will incur the $350 per student registration fee.  We will subtract each non-sponsored student hotel room cost ($182.85 per night which includes fees and taxes) and the registration fee ($350.00 each) for each non-sponsored student and adult delegate from your travel reimbursement.  We will place three students per room. The NFHS will provide all the meals for the conference delegates while in Indianapolis upon arrival starting July 17, 2008.

Travel for the sponsored student delegates will be paid for by the NFHS.  In order to ensure that your entire contingent travels together on the same flight, we require that you use the NFHS Travel Agency, Carlson Wagonlit Travel.  Please speak with Ms. Donna Lickteig at 877-251-3296 or e-mail her at dlickteig@carlsonwagonlit.com or kansascity@carlsonwagonlit.com.  She will immediately notify us of the cost and booking of the airfare and we will process payment to you for the sponsored student delegates minus adult delegate registration and non-sponsored student fees within two weeks of notification.

Delegate Application, Elective Speaker Selection, Student Health/Consent for Treatment, Liability Waiver, and Code of Conduct Deadline

We need all the materials associated with the student and adult delegates to be in our office by no later than Thursday, May 1, 2008.  This year, in addition to our standard curriculum, we are offering two additional leadership development speakers to cover pertinent and interesting topics.  All delegates will have to choose at least two elective speakers and everyone will participate in the elective speaker sessions.  We do not anticipate any health issues but we will have a full time trainer on staff during the entire conference and we are located minutes from five area hospitals in case of any emergency.  The health/consent for treatment form will need to accompany the delegates' applications as well.  The liability waiver and code of conduct need to be signed by the delegate and their parent/legal guardian.  The application and elective speaker selections needs to also be signed by the delegate.  The student health/consent for treatment form needs to be signed by the parent/legal guardian.

Thank you again and if you have any questions, please feel free to contact our office.
